Accounting Clerk – Accounts Payable/Accounts Receivable/Payroll

The Accounts Payable/Billing/Payroll Clerk works as a member of the Accounting Department and will assist the Director of Accounting and other departments with daily accounting and administrative duties.  The main focus of the position will be the timely and accurate processing of Accounts Payable, Billing, and Payroll.  Special projects and other duties may be assigned to assist other departments. The Accounts Payable/Billing/Payroll Clerk demonstrates the ability to maintain confidentiality, display a professional demeanor, be able to adapt to competing demands, and to use sound judgment in an ever changing environment.

What You Get to Do

  • ACCOUNTS PAYABLE:
  • Receive and code vendor invoices, employee reimbursements and credit card statements with proper general ledger codes
  • Ensure proper back up documentation and receipts are collected on all invoices, employee reimbursements and company credit cards
  • Ensure invoices are approved as appropriate and pursuant to policy
  • Enter invoices into Ajera Accounting System
  • Set up and maintain vendors in Ajera Accounting System and ensure W9’s are received, entered and filed
  • Process checks for vendor and employee reimbursements
  • Record electronic payments for invoices, loans, etc.
  • Prepare checks for mailing and filing
  • Review and reconcile accounts payable aging report for any discrepancies
  • Ensure payments are made timely and accurately
  • Maintain and reconcile petty cash monthly
  • Maintain vendor master files per internal control procedures
  • Answer inquiries from vendors and department managers
  • Produce Accounts Payable reports as directed
  • BILLING:
  • Prepare and process of billing reviews and other documentation necessary for invoice production
  • Invoice clients according to schedule
  • Set up new projects and tasks in Ajera
  • Prepare lien release forms and other documentation as support for invoices
  • Send invoice to client in the requested format (email, web, or hard copy)
  • Use client billing portals as directed to submit billing information
  • Produce and distribute Billing and A/R reports as directed
  • Properly apply and post payments to correct account and invoice
  • PAYROLL:
  • Enter and verify employee data, changes, and other related payroll information into Ajera
  • Review and verify payroll hours as entered by employees into Ajera
  • Process payroll according to established schedule
  • Assist in reconciliation of payroll data
  • Verify sick and vacation hour usage against accruals prior to processing
  • Investigate and report payroll discrepancies and errors
  • Produce and distribute payroll related reports as directed
  • ADMINISTRATIVE:
  • Develop, organize, and maintain Accounting-related manuals and procedures
  • Administrative duties as assigned

Requirements

  • Associate’s degree in Accounting or equivalent Accounts Payable and Billing experience preferred
  • Minimum 2+ years’ experience or commensurate education in small business AP/Billing environment preferred
  • Experience using various financial/accounting systems
  • Experience working in a professional services/consulting environment preferred
  • Ability to learn new techniques, perform multiple tasks simultaneously, keep accurate records, follow instructions, and comply with company policies
  • Proficient with Microsoft Office
  • Experience with Axium Ajera Accounting systems highly desired
  • Thorough understanding of accrual accounting and cash basis accounting
